KEY RESPONSIBILITIES
Office Administration
- Manage daily office operations and maintain a well-organized work environment
- Answer and direct phone calls, emails, and other internal and external correspondence
- Greet visitors and clients in a professional manner
- Maintain office supplies inventory and place orders as needed
- Coordinate office maintenance and liaise with building management
Document Management
- Prepare, format, and proofread documents, reports, and presentations
- Maintain filing systems (both physical and digital)
- Scan, copy, and distribute documents as required
- Manage document version control and archiving
Scheduling & Coordination
- Schedule and coordinate meetings, appointments, and conference rooms
- Arrange travel accommodations and prepare itineraries
- Coordinate internal and external events
Communication Support
- Handle incoming and outgoing mail and courier services
- Draft routine correspondence and communications
- Distribute information to staff and stakeholders
- Serve as a liaison between departments and external parties (e.g. Vendor)
Data Entry & Record Keeping
- Input and update data in company databases and systems
- Maintain accurate records and logs
- Generate reports and spreadsheets as needed
- Ensure confidentiality of sensitive information
Financial Administration Support
- Process expense reports and invoices
- Assist with basic bookkeeping tasks
- Coordinate with finance/accounting departments
Office Move Project Support
- Assist with office move project administration work
- Conduct quotations research and compile information
- Follow up on action items and deadlines
- Support team initiatives and events
QUALIFICATIONS & REQUIREMENTS
Education
- High school diploma or equivalent required
- Associate's or Bachelor's degree
Experience
- Fresh graduate is acceptable
Skills & Competencies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills in Chinese and English
- Strong organizational and time management abilities
- Attention to detail and accuracy
- Problem-solving and critical thinking skills
- Ability to multitask and prioritize workload
- Professional demeanor and appearance
- Discretion and ability to handle confidential information
